2025 Call for CIMA Officers and Council

Dear CIMA members,

We are now seeking nominations to fill the upcoming vacancies in CIMA’s leadership. The following positions are open for nominations:

Vice President/President-Elect (1-year term as VP and 1-year term as President)
- Primary duties:
- - Serve as chair of the Education Committee.
  - Organize the CIMA Fall Caucus, usually in October or November.
  - Fill in for President in the president’s absence.

Secretary (2-year term)
- Primary duties:
- - Maintain all files and records of the Conference.
  - Keep copies of official CIMA correspondence.
  - Take minutes of all Council and other meetings.
  - Send copies of Council meeting minutes to all Council members, and forwards approved minutes to the webmaster for posting to the association website.
  - Records minutes from the annual Business Meeting, brings them for approval by CIMA Council, and forwards them to the webmaster for posting.
  - Assist the President as required in planning, budget, and correspondence.
  - Confirms the annual election of officers.
  - Serves as an ex officio member of the Membership Committee.

Council member (3 openings, 2-year term)
- Primary duties:
- - Attend bi-monthly Council meetings via conference call (usually Zoom).
  - Serve as chair or a member of at least one CIMA committee, representing CIMA leadership on the committee and reporting on committee activities at the bi-monthly Council meetings.

All members are eligible for nominations. Please consider yourself or another CIMA member for any of the above positions. This is wonderful way to get involved and ensure that CIMA continues to progress and thrive! Nominations are due by February 21, 2025.

Steve Wood CIMA Meeting Scholarship - 2025

The Conference of Inter-Mountain Archivists (CIMA) has scholarship opportunities for the 2025 annual meeting held in Boise, Idaho, April 30-May 3, 2025.

Steve Wood CIMA Meeting Scholarship

This is a $700 scholarship open to any CIMA member or student. Funds from this scholarship may be used for registration to the annual CIMA Meeting, including joint conferences and the Western Archivists Meeting, workshops offered as part of the conference, conference meals, and travel expenses.

There are five scholarships available for 2025

Qualifications for Applicants

· Applicants must be active members of CIMA OR

· Be enrolled as a student in a program that includes library classes, archival classes, or a related discipline

Please include the following information in one PDF document:

· Name, institution, and email address

· Current résumé

· 250-word cover letter including:

o A statement of the expected benefits of attending the CIMA meeting

o Why an employing institution would not be able to assist with travel funding

Consider applying to these programs that help organizations preserve and manage their collections!

1. Preservation Assistance Grants for Smaller Institutions: For small and mid-size institutions to improve their ability to care for and manage their humanities collections by funding assessments, consultations, trainings, purchase of supplies, and assistance developing policies and procedures.

Applications due: January 9, 2025

Maximum Funding Level: up to $10,000.

2. Sustaining Cultural Heritage Collections: This program offers three levels of funding for environmentally sustainable projects that improve preservation of humanities collections, reduce energy consumption, and strengthen an institution’s ability to anticipate and respond to disasters.

Planning (up to $50,000): Develop and assess preservation strategies and projects.

Implementation I (up to $100,000): Implement projects that address specific, discrete preservation challenges identified through an assessment.

Implementation II (up to $350,000): Implement projects that address large or multifaceted preservation challenges, identified through an assessment and planned for by a multidisciplinary collaborative team.

Stephanie Luke, Assistant Professor-Metadata Librarian at University of Illinois Urbana-Champaign is distributing information for a survey project on linked data in GLAM institutions. See below for further information.

Survey – The Missing Link: Where Are You with Linked Data?

We are seeking participants for a research survey to assess the uptake of Linked Data technologies for cultural heritage description in the Galleries, Libraries, Archives, and Museums (GLAM) community. The results from this survey are intended to capture the degree to which Linked Data is being implemented or used by different constituencies, to identify perceptions on added value or pain points of LD, and to infer risks and opportunities for further development in the areas of domain modeling and software development.

This survey will take 5-10 minutes to complete depending on the specific responses. It can be paused at any time and completed at a later point.

Your responses are collected anonymously and cannot be tied to your name or email address. No demographic information relating to your person other than your occupational role will be collected. The data collected in this survey will only be shared in aggregate for research purposes.

Society of Southwest Archivists 2024 Virtual Annual Meeting, May 1-3, 2024

The Society of Southwest Archivists 2024 Virtual Annual Meeting is less than one month away and registration is open! The meeting will be held May 1 - 3, 2024 hosted on Zoom Events. The theme is “DO NOT DEPLETE: Creating Sustainable Solutions in LAMs.” This theme emphasizes sustainability in all its many forms. There are four main areas of sustainability - Human, Social, Economic, and Environmental - all of which are reflected in the archival and archives-adjacent professions.

We have an exciting program planned with pre-conference workshops, engaging educational sessions, social events, and will also have a virtual repository tour showcase spotlighting innovative collections storage methods and spotlight sustainability.

The Plenary Address will be delivered by Eira Tansey. Eira Tansey is an archivist, researcher, and consultant based in her hometown of Cincinnati/the Ohio River watershed. She is the founder of Memory Rising, which provides research, consulting, and archival services with expertise in climate change, environmental and labor movements, and Ohio Valley regional history.

SRMA Fellowship

The Society of Rocky Mountain Archivists is offering a stipend of up to $6,000 for early professionals to participate in our Archives Fellowship Pilot Program. The purpose of this program is to support a more diverse field of applicants who wish to, or are curious about, embarking on a career in the archival field. Acknowledging that the archival field has high barriers to entry, including requiring an ability to complete substantial (and often unpaid) fieldwork and internships, this program is intended to allow early career professionals from underrepresented and marginalized communities to gain experience while also being paid appropriately for their work. In particular, the selection committee encourages Black, Indigenous and/or people of color (BIPOC) to apply.

This is a unique experience for a new professional to develop a project based on their goals and skills and work directly with an organization to determine the project’s scope, goals, and outcomes. Institutions in SRMA member states (CO and WY) will partner with a fellow to identify a project needing the fellow’s expertise and labor. The fellowship project may last up to sixteen non-continuous weeks, but must be completed within one year of selection. Work may be done onsite, remotely, or a combination of both, depending on the fellow’s availability, the project, and the needs of the partner institution. Hours worked should scale appropriately with the length and available stipend (e.g., part-time for 16 weeks), so as to guarantee a livable wage for the fellow.

Notification: May 19

Project work: May 19,2024 - December 21, 2024 (within 16 weeks)

The Digital POWRR team invites applications for the third of five upcoming in-person, 2.5 day digital preservation training institutes. The third Institute will be held June 5-7 at the Edmon Low Library at Oklahoma State University in Stillwater, Oklahoma. Due to the generosity of the National Endowment for the Humanities, the Institutes are offered free of charge and travel stipends are available!

An ideal candidate for a POWRR institute fits some of these descriptions:

· Someone who works directly with collections, including digital materials

· Someone who has been exposed to basic digital preservation concepts, but struggles with moving from theory to practice

· Someone who represents or serves historically underrepresented populations

· Someone who is comfortable with basic technology (navigating a basic computing environment), but would benefit from instruction on more intermediate concepts

· Someone employed by an institution unable to provide professional development funding adequate to attend other digital preservation training opportunities

· Someone who would benefit from being a part of a small cohort of professionals like themselves, and who will put forth effort into sustaining these professional connections after the end of the Institute

CIMA 2024 Annual Conference: Back to the Basics and into the Future!

When: May 29, 2024 to June 1, 2024

Where: Reno, Nevada, University of Nevada, Reno Libraries in the Mathewson-IGT Knowledge Center.

We are bringing it back to the basics and looking to the future for 2024 with a program focused on discussing core archival principles as well as innovative projects with an eye on the future! Session topics may include but certainly are not limited to workflows, processes, archival description, mentoring, outreach, relationship building, digitization, and beyond!

Proposals for the following are encouraged:

Pre-conference Workshops (Wednesday):

Workshops may be full-day (6 hours) or half-day (3 hours)

Conference Sessions (Thursday/Friday):

Presentations may be 15, 30, or 60 minutes
Breakout rooms/roundtable discussions

Informal hour-long discussions related to a particular theme
Submitting a proposal indicates your intention to lead the discussion

Poster sessions:

Posters will be on display Thursday and Friday of the conference

Presenters should be available to discuss their posters with conference attendees during specified breaks

Please submit your proposals here. Presenters can attend in person or present virtually.

There is also a Google document where CIMA members can informally propose ideas and connect with other members who might be interested in presenting on the same or similar topic.

The Program Committee has completed a tentative schedule, which includes workshops, dine-arounds, presentation sessions, keynote, posters, reception, breakout sessions, business meeting/awards luncheon, and tours. Stay tuned for more!

University of Nevada, Las Vegas Oral History Research Center Commemorates 20 Years

The Oral History Research Center at the University of Nevada, Las Vegas (UNLV) commemorated its 20th anniversary on October 23rd, 2023. At this evening event, UNLV Libraries presented a live oral history interview of the Center's Director, Claytee White. The interview was conducted by the Center's Projects Manager, Stefani Evans. In attendance was UNLV President, Keith Whitfield, Ph.D.; Vice President of Philanthropy & Alumni Engagement, Rickey N. McCurry; UNLV Dean of University Libraries, Maggie Farrell; UNLV Director of Special Collections & Archives, Sarah Quigley. The event was also attended by numerous friends and numerous colleagues, at the Beverly Theater in downtown, Las Vegas.

As the inaugural director of the Center (in 2003), Claytee White was tasked with developing a robust program for UNLV. Over the years, the Center has conducted 13 major projects, starting with the "Boyer Early Las Vegas Oral History Project". An exhibit documenting these works is currently on display on the first floor of Lied Library, in Las Vegas, Nevada.

Claytee White participated in the "All That Jazz: An Oral History Project" panel session during the 2014 CIMA Annual Conference in Carson City, NV.

In honor of the Oral History Research Center’s 20th Anniversary, the Libraries have launched a fundraising campaign to fund the work of the center in perpetuity. Gifts may be made through the UNLV Foundation. 2023 CIMA Fall Caucus Call for Presentations

The CIMA Education Committee is excited to announce the call for presentations for the CIMA Fall Caucus, scheduled to take place on 14 November 2023 from 1:00 to 5:00pm MT. The program will be presented virtually.

The theme for presentations is "Creative Solutions in Archives." We welcome submissions on the following topics, or any submissions that demonstrate innovation and originality in the application of archival principles.

Inter-departmental, institutional, or community collaboration
Application of DEIA principles
Ways to approach archival processing and backlogs
Workflows and project management
Crowd-sourcing, indexing, and metadata
Managing electronic records
Resource and budget management
Student and intern projects
Approaches to community outreach, especially coming back from the pandemic

We encourage all types of presentations, individual or group panel presentations. Individual panels would be in the range of 15-20 minutes. Group panels would be in the range of 30-45 minutes. If you have something to share with fellow archivists, please submit!

UNLV Libraries Special Collections & Archives Receives Grant!

Sarah Quigley and Michael Don Fraser from the University of Nevada, Las Vegas (UNLV) received a $75,000 Library Services and Technology Act (LSTA) grant from the Nevada State Library, Archives and Public Records to update and modernize preservation and conservation equipment in the UNLV Libraries Special Collections & Archives. The new equipment will enable Special Collections and Archives to ensure appropriate long-term preservation for our rare and unique collections ensuring long term access for students and community. Quigley is the director of Special Collections and Archives and Fraser is the book and paper conservator in Special Collections & Collections.

Position Highlights: The University of Arizona Libraries invites applications for a Digital Preservation Analyst to support the University of Arizona Libraries digital preservation program as part of the Digital Preservation and Production Unit. The Analyst will report to and work closely with the Digital Preservation Librarian to expand, scale, support, and oversee workflows and services for the various streams of content stewarded by the University of Arizona Libraries. The successful candidate will also work in close collaboration with stakeholders in other departments including Special Collections, Technology Strategy and Services, and Research Engagement, to ensure that the full breadth of the Libraries unique digital assets are safeguarded and stewarded according to good practices. The Digital Preservation Analyst performs a sizable portion of duties in the Libraries’ Digital Preservation Lab, which is the site of significant innovation and stewardship, deploying forensic analysis of born-digital media to ensure both preservation and access for the libraries' distinctive special collections. The Analyst processes incoming and legacy born-digital media, such as optical media (CDs/DVDs), flash drives, external/internal hard drives, floppy disks, and other dynamic digital objects in support of their preservation and access. The Analyst will also be responsible for creating and maintaining documentation of workflows, setting up hardware and testing software, performing format analysis and migration, and conducting research as needed.

2023 Call for Awards Nominations

The Conference of Inter-Mountain Archivists (CIMA) is currently accepting nominations for the 2023 CIMA Awards. Up to five awards may be presented at the CIMA Annual Meeting held in Logan, Utah, on May 10-13, 2023. The five proposed awards are Lifetime Achievement, Service, Mentor, Archival Projects, and Innovator.

Lifetime Achievement Award
Presented by the peers and colleagues of the recipient, the prestigious CIMA Lifetime Achievement Award acknowledges and demonstrates appreciation for a life of service and leadership in the archival profession or for significant continued support of the archival community and its institutions. Nominees must have demonstrated strong leadership and advanced scholarship on both regional and national levels. The 2022 recipient was Paula Mitchell, Special Collections Librarian/University Archivist for Southern Utah University (SUU).

Required for nomination: Nomination letter, CV or resume of nominee
Optional: Up to two (2) supporting letters of recommendation

Service Award
The CIMA Service Award is given to an individual who has made significant contributions in recent years to the CIMA organization, to the archival institutions of the intermountain region, or to the archival profession. The award is given in appreciation for service, leadership, and support of the region’s archival community. Nominees must have demonstrated an inspirational spirit and have worked to build a career based on service but may not have yet achieved many of the career milestones required for the Lifetime Achievement Award. The 2022 recipient was Gina Strack, Utah State Archives and Records Service.

In connection with the CIMA Mentoring Program, the Mentor Award celebrates those CIMA members who strive to help cultivate career development in the archival community and who have worked with students or new professionals to build professional knowledge and expertise within the next generation. Nominees must have advocated for students and/or new professionals; provided guidance in professional development and self-assessment; and helped students and/or new professionals build a professional network through collaborations and introductions. Nominees must also have demonstrated sustained commitment to creating a productive working environment that enhances the archive work experience. The 2022 recipient was Sarah Jones, University of Nevada, Las Vegas (UNLV) Special Collections and Archives.

Required for nomination: Nomination letter (500 words or fewer)
Optional: Up to two (2) supporting letters of recommendation (each 500 words or fewer)

Archival Projects Award

This award recognizes an archivist, group of archivists, repository, or organization that worked on an archival project which has significantly benefited or impacted its community, the archival profession, or the intermountain region. The work must have taken place within three years of the nomination and does not need to be completed but must have advanced sufficiently to demonstrate results. The last recipients were Kelli Luchs and Ilana Short for their work on the Las Vegas Lineup project (2019).

Required for nomination: Nomination letter (500 words or fewer)

Optional: Final product or other documentation of the project such as photographs, a brochure, or a website

Innovator Award

The Innovator Award recognizes an archivist, group of archivists, repository, or organization in the intermountain region that has demonstrated creativity or innovation in their work, resulting in an improved work process, program, event, or product. Nominees must have applied creativity or innovation in approaching professional challenges; demonstrated thinking outside of professional or institutional norms; and translated creativity, innovation, and new thinking into working solutions. The last recipient was Elizabeth Woolcott for improving cataloging and metadata workflows at the Utah State University Libraries (2019).

Required for nomination: Nomination letter (500 words or fewer)

Optional: Photographs, brochure, website, or other documentation

Nomination and Selection Process
Please submit letters of nomination and appropriate documentation to Natalie Johnson Pearmain at natalie.johnson@churchofjesuschrist.org. Additional materials that are not listed as required or optional will not be considered. Nominations must be submitted by a CIMA member; however, nominees do not have to be members of CIMA. All members are encouraged to participate in the nomination process and may remain anonymous if desired. The deadline for submission is February 17, 2023.

Nominations will be reviewed by the CIMA Awards Committee, which is comprised of members from Arizona, Idaho, Nevada, and Utah. The committee will recommend award recipients to CIMA Council on March 10; recipients and their nominators will be notified by March 17, 2023.

We are now seeking nominations to fill the upcoming vacancies in CIMA’s leadership. The following positions are open for nominations:

President (1-year term) *

Primary duties:

Prepare agenda for and run the bi-monthly CIMA Council meeting, and other CIMA meetings
Work with Council to fill vacancies in CIMA committees and officers
Serve as chair of the Program Committee for the Annual Conference
With the Treasurer, create an annual budget and present it to Council
Approve expenditures

Vice President/President-Elect

Primary duties:

Serve as chair of the Education Committee
Organize the CIMA Fall Caucus, usually in October or November
Fill in for President in the president’s absence

Secretary

Primary duties:

Take minutes at the bi-monthly Council meetings and other meetings
Maintain and update the CIMA Handbook
Maintain all files and records of CIMA
Keep copies of official CIMA correspondence
Conducts the annual election of officers and announces results

Council member (3 openings)

Primary duties:

Attend bi-monthly Council meetings via conference call (usually Zoom)
Serve as chair or a member of at least one CIMA committee, representing CIMA leadership on the committee and reporting on committee activities at the bi-monthly Council meetings

Call for Participation: Railroads in Native America Gathering

The Utah Department of Cultural & Community Engagement, the Utah Division of Indian Affairs, the Ogden Union Station, and other partners are hosting an inclusive, intergovernmental, and interdisciplinary symposium on the relationship between Native peoples and the railroad. The event will be held at the Ogden Union Station from May 19-21, 2022. Lifetime Achievement Award
Presented by the peers and colleagues of the recipients, the prestigious CIMA Lifetime Achievement Award acknowledges and demonstrates appreciation for a life of service and leadership in the archival profession or for significant continued support of the archival community and its institutions. Nominees must have demonstrated strong leadership and advanced scholarship on both regional and national levels. The 2021 recipient was Robert Spindler, Former Head of Archives and Special Collections and University Archivist at Arizona State University’s Hayden Library.

Required for nomination: Nomination letter, CV or resume of nominee
Optional: Up to two (2) supporting letters of recommendation

Service Award
The CIMA Service Award is given to an individual who has made significant contributions in recent years to the CIMA organization, to the archival institutions of the intermountain region, or to the archival profession. The award is given in appreciation for service, leadership, and support of the region’s archival community. Nominees must have demonstrated an inspirational spirit and have worked to build a career based on service. However, nominees of the CIMA Service Award may not have yet achieved many of the career milestones required for the Lifetime Achievement Award. The 2021 recipient was Roger Myers, University of Arizona Libraries Special Collections.

Mentor Award

2021 CIMA Annual Business Meeting

We have an exciting two days planned with presentations, a poster session, vendors, a virtual transcription competition courtesy of From the Page (great for those wanting to play around with the software, or just can’t get enough of transcribing, or, are highly competitive!), and our Annual Business Meeting during which we will provide updates on CIMA’s 501(c)(6) status, present awards, and announce our newly elected Council members, and scholarship recipients. The itinerary is listed below.

In the meantime…Registration for the 2021 Annual Business Meeting and Conference is now open! We will be sending out a Zoom link for those who register for the Meeting, just prior to the event.

There is still time to register for the all-day SAA workshop, Introduction to PREMIS, being offered on Wednesday, April 28. The cut-off date for the workshop registration is Friday, April 9th. We need at least 15 people registered, otherwise we will have to cancel. Due to COVID, the day-long SAA workshops currently count as in-person workshops, so take advantage of saving on traveling expenses while you can!

CIMA Fall Caucus, 2020

We are pleased to announce that we have finalized the agenda for the 2020 Fall Caucus meeting--"Archival Work in a Time of Crisis"--to be held via Zoom on Friday, October 30, 2020, and registration is now open!

Registration is FREE and open to all CIMA members, students, and non-member colleagues. However, to ensure a secure meeting, you are REQUIRED to register and provide your e-mail. Information about how to join the virtual event will be delivered to the e-mail address provided.

The meeting is planned to be held from 10am-noon MDT / 9am-11am PDT. We have some great presentations planned, along with a brief update and discussion on CIMA-related issues. We will then open up the remainder of the meeting to anyone who would like to share briefly (5 min. max.) and informally something they have done/learned/changed, etc. in their institution during the pandemic. You can also come with questions to pose to fellow CIMA members to learn how others are dealing with particularly difficult situations. Or, just come and listen and reconnect (virtually) with the rest of the CIMA community!
